Access Requests & Audit Log

What requires approval

Any time a label or agency admin acts on behalf of an artist, the following actions require explicit artist approval:

  • Export email list, Downloads the artist's subscriber list as a CSV
  • Export Meta Audience, Exports a hashed subscriber list for Meta Ads
  • Export city requests, Downloads fan city request data
  • Import email list, Uploads contacts into the artist's subscriber list
  • Send email blast, Sends an email to the artist's subscriber list
  • Send SMS blast, Sends an SMS to the artist's subscribers
  • View paid content sales, Accesses the artist's paid content revenue data
  • Upload to Track Vault, Uploads a file to the artist's Vault

Artists exporting or acting on their own data run through normally, approval is only required when a label or agency admin is acting on the artist's behalf.

For artists, reviewing and responding to requests

Go to Dashboard → Managers & Labels → Access Requests.

When a label or agency admin requests permission to take one of the above actions, you'll see it here. You'll also receive an email with a link to review it.

Each request shows:

  • Who is requesting (their name and label/agency)
  • What action they are requesting
  • When it was requested and when it expires
  • Their IP address and device, so you can verify it's a legitimate request from someone you recognise

Approving or denying: Click Approve or Deny on the request card. You must sign in to respond, there's no one-click approval via email, intentionally.

  • Approved, the label admin can proceed with the action. Approval is single-use and expires after 24 hours if unused.
  • Denied, the action is blocked. You can optionally add a reason.

A green badge on the Access Requests sidebar entry tells you when new requests are waiting.

Tabs:

  • Pending, requests waiting for your response
  • Recent, requests you've recently approved, denied, or that have been consumed
  • All, full history

For labels and agencies, requesting access and consuming approval

When you try to perform a gated action on an artist's profile, you'll receive a prompt to request their approval if one isn't already in place.

Once you request:

  • The artist is notified by email and sees the request in their dashboard
  • A banner appears on your dashboard reminding you that approval is pending
  • When the artist approves, click Try Now on the banner, the action runs immediately and the approval is consumed

Approvals are single-use. Each approved request covers one action, one time. If you need to export again tomorrow, you'll need a new approval.

Rate limit: You can submit up to 5 requests per artist per 24-hour window.

Cancelling a request: You can cancel a pending request you've submitted before the artist responds.

The audit log

Every action taken on an artist's behalf is recorded, both the request and the execution.

Artists can see their full activity log at Dashboard → Managers & Labels → Activity. It shows every action taken on your profile by any label or agency admin, what was done, who did it, when, and from where.

Labels and agencies can see their own activity at Dashboard → Roster → Activity, every action your admins have taken across all managed profiles.

What's logged:

  • Every access request (created, approved, denied, cancelled, consumed, expired)
  • Every roster change (invite sent, accepted, declined, role changed, member removed)
  • Every freeze and unfreeze (individual and bulk)
  • Every export, import, blast, and vault upload performed on behalf of an artist

The log captures the IP address and device for every action, including both when the request was made and when the approval was used. If an approval was used from a different location than where it was requested, that's visible in the record.

Protections built into the system

  • Every gated action requires its own individual approval, there's no way to pre-authorise a label for all future actions
  • Approvals expire after 24 hours whether used or not
  • Pending requests also expire after 24 hours if the artist doesn't respond
  • Artists can freeze a label or agency's access at any time from Dashboard → Managers & Labels, immediately revoking their ability to act on your behalf
  • If a label's subscription lapses, their access to all managed profiles is automatically suspended
